Hours: Monday to Friday between 9am-5.30pm (flexible working whilst keeping within core hours of 10am-4pm maybe considered

A progressive and successful firm of Attorneys is looking for an aspiring legal executive/administrator to join their expanding support team.  The role involves assisting two Executive Assistants in supporting the workload of the team of Attorneys.  The role is extremely flexible and will involve you in every aspect of the firm’s work.  Ongoing training will be provided if necessary.

The successful candidate will be dependable, confident, efficient, meticulous, adaptable, well organised and enjoy communicating with clients and professionals.

Experience of working in an office/legal environment would be desirable, however, driven candidates with no experience but a desire to succeed will also be considered.  Additionally, you must have experience of or a willingness to learn Microsoft products such as Word, Outlook, Excel and PowerPoint.  The successful candidate will be an all-rounder with an enthusiasm to learn new skills, and above all be a true team player willing to assist in all aspects of running a busy office.

The role involves assisting the Attorneys and supporting their work load.  The role will involve every aspect of the firm’s professional work and will require training in intellectual property portfolio management and on-line filing.

  • Accurate audio touch typing of documents such as letters, patent specifications and other documentation, contracts, notes, memo’s etc
  • Preparation of official forms and notices in a timely and accurate manner.  This will include the input of appropriate data in patent and trademark applications and prosecution official forms.
  • Thorough working knowledge of Microsoft products such as Word, Outlook, PowerPoint and Excel
  • Preparation of online filing systems for patent and trademark documents
  • Reception duties including answering the telephones, greeting clients, booking meeting rooms, preparation of refreshments.
  • Personal Assistant duties such as booking and managing UK and foreign travel arrangements for attorneys, maintenance of personal diaries and the like.
  • Official Diary Date management including, as and when required, diary data entry, monitoring of official diary dates, reminding personnel of imminent or future due dates.
  • General office management duties including, as and when required, ordering stationary and other sundries, liaising with IT and photocopier suppliers.
  • File management duties including ordering of case files and file dividers, ensuring adequate file space is provided, maintenance of files including correct copying and filing of incoming outgoing correspondence, managing filing of case files.
  • There will be a need to help from time to time with preparation of processing invoices.
  • Liaison duties such as liaising with external providers.
